Studio Policies

Welcome to Hotform Fitness! We’re excited to be part of your fitness journey. To ensure a positive, safe, and seamless experience for everyone, we kindly ask that you review and follow our studio policies. By participating in our classes and services, you agree to the terms and conditions outlined below.

Class Reservations & Booking

  • Reservations: All classes must be reserved in advance via our website or mobile app. We recommend booking early to secure your spot, as class sizes are limited.

  • Class Packages: Full payment is required at the time of purchase. All packages are non-refundable and non-transferable between members. Please review the expiration date of your package before purchase.

  • Waitlist Policy: If a class is full, you may join the waitlist. Should a spot open up, you’ll be notified as late as 2 hours prior to class start time.

  • Be Prepared:

    • Mats are provided for all classes, though you are welcome to bring your own.

    • Grippy socks are required for all classes and are available for purchase in-studio.

    • We recommend bringing your own mat towel and sweat towel. Forgot yours? Towels are available for purchase at the front desk.

Cancellation & No-Show Policy

  • Cancellations:
    You must cancel at least 2 hours before the scheduled class time to avoid penalties.

  • Late Cancellations (less than 2 hours before class):

    • Class Package Holders: The class credit will be deducted from your account.

    • Unlimited Membership Holders: A $15 late cancellation fee will be charged.

  • No-Shows:

    • A $20 no-show fee will apply, and the class will be forfeited.

    • You are considered a no-show if you are not checked in within 10 minutes after class begins.

    • No exceptions – all no-show fees are final and non-reversible.

Arrival Policy

Please arrive at least 10 minutes early to check in, set up, and settle in before class begins.

To maintain safety and minimize disruption:

  • Entry will not be permitted more than 10 minutes after class has started.

Health & Safety

Your health and safety are our top priority:

  • The studio is thoroughly sanitized after every class.

  • Hand sanitizing stations are available throughout the space.

  • Please inform your instructor before class if you have any injuries, medical conditions, or concerns.

  • Always consult with a healthcare professional before starting any fitness program.

Returns & Refunds

  • We do not offer refunds on any purchases, including:

    • Class packages

    • Memberships

    • Apparel or merchandise

  • All class credits must be used by the original purchaser and are non-transferable.

  • Please be aware of expiration dates for all class credits and memberships—no extensions will be granted.

Guest Policy

We love when you bring a friend to experience Hotform!

  • Yearly Unlimited Members receive two complimentary guest passes per year. Guests must attend with the member.

  • Class Package Holders (non-unlimited) may bring a guest by using one of their own class credits.

  • All guests must create an account and sign a waiver before attending any class.

Studio Etiquette

To maintain a respectful and uplifting environment for everyone:

  • Please silence your phone and store it away during class.

  • Refrain from using mobile devices on the studio floor.

  • Respect others’ space and maintain a positive, supportive energy.

  • Please clean your station and any used equipment with provided sanitizing supplies after class.

Membership Cancellation Policy

To cancel a membership, the following conditions apply:

  • All cancellations must be submitted in writing and in person at the studio.

  • The written notice must include the member’s full name, email address associated with the account, and the date of the requested cancellation.

  • Verbal cancellations, phone calls, emails, texts, or social media messages will not be accepted as a formal cancellation.

  • All cancellations are effective on the date the written notice is received in person—no retroactive cancellations will be granted.

  • Please allow up to 3 business days for processing.

For questions regarding your membership status or cancellation process, please speak with a staff member at the front desk.


Membership Policies

  • Auto-Renewal: Monthly and yearly memberships will automatically renew unless canceled before the next billing cycle.

  • Pausing Your Membership: Membership holds may be available for medical, travel, or personal reasons. Please contact the front desk to discuss eligibility and requirements.

  • Payment Issues: Missed or failed payments may result in a temporary suspension of booking privileges until the balance is resolved.
